PRIVACY OF INFORMATION POLICY
The AIQS as a recipient of personal
information from members is subject to the recent Privacy
Amendment (Private Sector) Bill and Privacy Act 1988.
While the AIQS has always maintained a
strict privacy code for the handling and release of members’
personal details, the Bill requires a formal policy for the
protection of such information.
The following policy has therefore been
implemented by the AIQS to satisfy the legislation and the
members’ desire to protect their privacy.
- Members’ and subscribers’ personal contact particulars
e.g., address, telephone, fax, email will not be released
to any other person or entity, without the approval of the
member concerned or unless the information be required by
an officer of the AIQS for official business.
- Enquirers for such information will be advised that
the AIQS will contact the member and inform them that
there is an enquiry and provide the member the enquirer’s
telephone number so that the member may contact them if
they so desire.
- Other personal details such as the members AIQS
history, appointments, financial record, qualifications
and awards will not be released to any person or entity
unless that person or entity is an officer of the AIQS or
unless the member so authorises.
- The AIQS may make public the suspension or removal of
membership from a member and give reasons for such action.
- The AIQS may release such personal details as in 1 and
3 above in the event of receiving a legally enforceable
subpoena from a registered legal practitioner or court of
law.
- The AIQS will use its best endeavours to keep secure
at all times any personal information provided by or
belonging to a member. Access to members records will be
strictly controlled by the AIQS National Office staff.
- Members seeking access to or amendment of their own
data on the AIQS records must identify themselves by use
of their AIQS ID number or other evidence to satisfy the
AIQS staff that they are who they claim to be.
- Members’ personal data will be kept accurate and up to
date by the AIQS National Membership Officer or other
staff nominated by the AIQS General Manager, and access to
AIQS computer records will be controlled by passwords.
- The AIQS General Manager will conduct an annual review
of the privacy procedures in the AIQS National Office and
implement any changes necessary to satisfy this policy.
- None of the above shall prevent the AIQS from
publishing lists of its members and any
certification/accreditation of those members, nor will it
prevent the AIQS from using such information as in 1 and 3
above to nominate a member for Australian Honours and
Awards.
NB: This policy is issued under the authority of the AIQS
National Council with effect 10 August 2000.
